Machine size and tonnage
Within a category, the price rises with tonnage, power and working attachments. A light mini excavator that fits through a yard gate costs less per day than a mid-size one, and an articulated boom lift with a high working height costs more than a scissor lift. Compare offers for the same class, not just the same machine type, and ask which attachments are included (buckets of different widths, hydraulic breaker, auger).
With or without an operator
Some suppliers only rent with their own operator; others let you use your own, provided they hold the licence or qualification the machine requires. Check whether the daily price includes the operator, how many hours they work, how overtime is charged, and who covers accommodation and meals for jobs far from the supplier’s base.
Transport and mobilisation
Bringing the machine to site on a low-loader and collecting it afterwards is usually invoiced separately, as a flat fee or per kilometre. For a one- or two-day job, transport can weigh as much as the rent, so a supplier close to your site can be cheaper overall even with a higher daily price.
Rental period
The daily rate is usually the highest per unit of time. Many suppliers have weekly or monthly rates, and long rentals are worth negotiating. Agree what a day means: an 8-hour shift of running time or 24 calendar hours, how engine hours are read, and what happens if work stops because of the weather.
Season and region
In spring and summer, when most sites start, popular machines are booked early and last-minute offers are rarer. Prices also differ between large cities with many suppliers and areas with only a few. Booking a few weeks ahead gives you time to compare.
How to ask for a comparable quote
Send every supplier the same details: machine type and tonnage class, the job (foundation, trench, stripping, demolition), site address, dates, whether you need an operator and transport, and who supplies the fuel. Ask for an itemised price: daily rent, operator, return transport, deposit, and whether amounts include VAT. That way you compare offers on the same basis.
